Why do you need a digital personnel file?

Moving from paper archives to digital files — gains in audits, KVKK compliance, and onboarding.

July 22, 2026

The personnel file is the official record of each employee's HR history: contract, ID, diploma, social security notice, medical report, and disciplinary records. When these documents are scattered in a paper archive, finding a file on audit day takes hours; missing paperwork creates legal risk.

A digital personnel file brings all documents together in one record per employee. HR specialists open the current file in seconds without searching; managers see their team's basic information within their authorization.

During onboarding, the mandatory document list is generated automatically. When something is missing, employee and manager receive a notification; the “incomplete file” warning does not clear until onboarding is complete. This is the operational value behind competitors' “4,500+ customers” message: catching process errors early.

From a KVKK perspective, a digital file provides role-based access and audit logs. Who viewed which document and when is recorded; unauthorized access risk is far lower than with paper cabinets.

At offboarding, documents to be returned and asset records are tracked with a checklist. When the personnel module works integrated with asset management, “missing device / missing document” is not a surprise on the last day.

Digital personnel data is the foundation of payroll, leave, and training modules. Registration number, hire date, and department are entered once; other modules feed from the same source.

During migration, your existing Excel and scanned PDF archives can be bulk-imported. Throughout the transition, the Bulut-ik team supports you with data mapping and checklists.

Test the personnel module with a 30-day demo on your own document structure; let's configure the onboarding checklist together.
